What a good invoice needs
An invoice is a request for payment, and the details on it are what get you paid on time. Every invoice should carry a unique invoice number (so both sides can refer to it), the invoice date and a due date, who it is from and who it is billed to, a line for each product or service with quantity and price, the total due, and how to pay.
This template lays those out on one page:
- Invoice number, invoice date, due date, and an optional PO or reference number — useful when the client's accounts team requires their purchase order number before they approve payment.
- From and Bill to blocks, each with name or business, address, and email or phone.
- 12 line items, each with description, quantity, unit price and amount.
- Subtotal, tax, discount and total due.
- A box for payment terms and instructions: bank details, a payment link, and any late fee.
Totals are typed, not calculated
The amount and total fields are plain fields: you type the numbers. Fill & Sign doesn't run PDF scripts, so nothing on the form calculates for you — and nothing pretends to. If you send many invoices, keep the arithmetic in the invoice tracker spreadsheet, which calculates what each client still owes and flags overdue invoices.
Tips that save chasing payments
- Use a numbering scheme that never repeats, such as
2026-014. - State terms in plain words: "Due within 30 days of the invoice date" is clearer than "Net 30" to clients who don't deal with invoices daily.
- Name the downloaded file after the invoice number, so it is easy to find later.
FAQ
Can I add my logo?
Not in the template itself. Fill it in here, download it, and if you need branding, keep the logo in your email signature or letterhead — or merge a cover page with Merge PDF.
Does this work outside the US?
Yes. Nothing on the form is US-specific; write the currency and your tax label (VAT, GST) in the line items or the tax row.
Is anything uploaded when I fill it?
No. The template loads from this site and is filled entirely in your browser.
